How to hire an AI employee

An AI employee works like a regular employee: it has a name, a portrait, a job title, its own email, tasks and a log of its work. It knows your company from the profile and the Knowledge Base and hands work over to colleagues. AI employees can be hired by the company owner or an admin.

The hiring wizard

  1. Open the Team section, AI Staff, and click Hire an AI employee.
  2. Role step: choose a role from the catalog by department, or a custom employee.
  3. Personality step: name, job title, department, avatar color and manager. The manager gets escalations and can approve the employee’s suggestions.
  4. Access and autonomy step: tick the sections the employee works with (leads and clients, email, tasks, calendar, documents, finance, HR and hiring, legal, ads, Knowledge Base), choose autonomy (Observes, Suggests or Works on its own) and the schedule: around the clock or working hours.
  5. Instructions step: review the role’s standard instructions or write your own. A custom employee needs instructions.
  6. Click Hire.

Working hours are set in Moscow time. Outside working hours the employee only collects email and does nothing on its own. You can change the instructions at any time in the employee’s Settings tab.

When payment starts

The bottom of the hiring window shows the role’s level, its allowance and what happens with payment in your case:

  • Free trial with one of the three trial places free: the employee works for free until the trial ends.
  • Trial places taken, or the subscription is paused: the employee is hired but waits for payment and doesn’t work yet. The general Pay subscription button in Plan & Billing turns them on.
  • Subscription already paid: Opero issues an invoice for the rest of the current period right away, and the employee starts after payment.

More about invoices and payment methods: Plan & Billing.

What to do after hiring

The employee appears in AI Staff. Their profile has the tabs Overview, Email, Tasks, Meetings, Log, Style and Settings.

  1. Give the employee an email address in the Email tab: without it they can’t write to clients. Details: the AI employee’s mailbox.
  2. Create a task in the Tasks tab. The employee picks it up on the next cycle and adds the result to the description.
  3. To skip the wait, click Run now at the top of the profile.
  4. In the Settings tab, click to create a portrait: it takes about a minute. Without a portrait the employee is shown with a color and initials.

You can chat with the employee right in their profile. What each AI employee is doing right now is visible on Live Office in the Today section.

Pausing and firing

Pause at the top of the profile stops the employee’s work, and Resume brings it back. Pausing doesn’t change billing.

Fire stops the employee for good: they stop reading email, replying and doing tasks. Their log, emails and tasks are kept.

If you fire a paid employee, their place stays paid until the end of the period. You can hire another employee of the same or a lower level into that place at no extra cost.
